General Summary:

As a 3PL Coordinator you will be a key member of the Vetsource operations team in supporting the Third-Party Logistics (3PL) operations by tracking and monitoring Key Performance Indicators (KPIs) of external fulfillment locations for shipping and receiving, process compliance, and service levels. You will also be on point for planning, managing, and directing workflow training for 3PL personnel according to Standard Operating Procedures and Protocols, in order to maintain efficient and accurate order fulfillment and tight inventory control within a rapidly growing, changing environment. This position will be based in Portland, OR, however will also have oversight to locations throughout the country.

Essential Duties:

Facilitate day-to-day distribution of product in collaboration with 3PL partners to ensure timely shipments, quality, and service initiatives
Partner effectively with key stakeholders internally and externally to achieve operational efficiency
Communicate clearly with team members the expectations regarding all aspects of operations: changes, backorders, purchasing anomalies experienced, damaged, short dated products, etc. Communication across all levels of the organization is inordinately important.
Ensure contracted logistics providers have necessary tools and capacity on site to meet demand
Assist in the development of 3PL Key Performance Indicators (KPIs), and establish reporting to hold teams accountable for set service levels
Coordinate resolution activities related to back orders, product outages, technology issues, inventory integrity, and returns
Meets regularly with 3PL teams to ensure Standard Operating Procedures and protocols regarding work order documentation, work processes, and best pharmacy practices
Provide feedback in regards to proper shipping, receiving, storage, and distribution processes to ensure efficiency and accuracy
Conduct ongoing training and provide feedback for 3PL teams to ensure they are following protocols
Collaborate on logistic aspects for product line extensions and product launches across cross-functional teams, outside service providers, and other stakeholders within project timelines
Maintain detailed documentation and reporting, standard operating procedures, and tracking
Share documentation, including pictures, with purchasing staff for follow up and resolution with vendor(s)
Retain and review warehouse documents, packing lists, invoice copies; report and investigate discrepancies such as unmatched PO’s
Identify process improvements to mitigate common or impactful issues
Audit 3PL shipping and receiving teams’ protocols, location inventory, KPIs, safety and service levels
Assist 3PL partners in training, performance evaluation, development, and accountability
Work closely with the Purchasing team regarding inventory levels
Other duties and projects as assigned

Experience and Qualifications:

Have a genuine passion for providing excellent customer service; set a positive example for team
Proficient and adept with technology such as remoting into offsite systems for troubleshooting; quickly learn the intricacies of new software

Minimum three (3) years experience in a fulfillment or distribution operation or relative experience in operations logistics
Excellent computer skills are required; experience using email, instant message, Microsoft Excel, Microsoft Word, as well as the ability to learn how to navigate multiple unfamiliar systems or programs quickly and use at once such as Shipping/Receiving Software
Preferred Qualifications:

Operations, business, or supply chain experience a plus
Bachelors degree preferred
Data analytics experience
Project coordination experience
Working Conditions:

Ability to work at a computer for long periods of time
Ability to work for short to mid length time periods in a warehouse environment
The noise level in the work area is normally quiet to moderate
Environment where dogs could be present
Regular 10-15% travel may be required
