About the Position

Responsible for all aspects of the staff and student recruitment and hiring. This includes job postings, supervisor training related to hiring, non-exempt job offers, and new employee on-boarding. Create and develop relationships with hiring supervisors, student supervisors at agencies, and with other key administrative hiring support staff for each of the schools. Responsible for monitoring employee’s onboarding process, updating employee data and position information, including student work-study status changes. Coordinates and conducts new employee orientation (NEO) and annual student job fairs.

Review of applications will begin on March 4th, 2020 and continue until the position is filled.

What You'll Do

Job Requisition and Approval

Provide direction to the hiring managers to facilitate the completion of job requisition. Review requisition for completion and accuracy, submit for approval and post job openings. Monitor the approval process for unnecessary delays. Assign recruiter and search committee roles. Provide tools to supervisors on candidate selection, interview and hiring process.

Recruitment and Advertising

Collaborate with the hiring manager on recruiting sites. Research and recommend sites to target applicants for unique positions. Post all positions in locations required to ensure compliance with Affirmative Action. Post positions as requested by hiring managers to additional external sites and charge departments accordingly. Monitor the success of the recruiting process monthly. Participate in job fairs, college career events, and other networking opportunities.

Pre-hire and On-boarding

Monitor on-line on-boarding throughout the entirety of the process keeping in close communication with the new employee and the hiring managers to ensure efficiency and ease of the process. Manager the electronic reference check process; provide results to hiring managers for review. Extend formal conditional offer of employment through HRIS. Initiate background check, create initial employee record and contact new employees to create L&C email account. Coordinate and conduct new employee orientation (NEO).

Student Employment

Assist departments and off-campus agencies in finding eligible student employees. Plan annual student employment fair at the start of the Fall semester to bring together department supervisors in need of student workers and student workers in need of a job. Maintain a database of job descriptions. Complete the hiring process, ensuring the appropriate position, account, and work-study status. In coordination with the Financial Aid Office and the HRIS Analyst, troubleshoot work-study status changes, pay and/or time recording issues for students and supervisors.

Create and oversee all off-campus FWS contracts. Communicate effectively with off-campus agencies to develop job opportunities and ensure proper use of FWS funding. Monitor contracts to ensure compliance. Evaluate the effectiveness of contracts and make recommendations on changes to contracts. Coordinate with Law Career services to create and monitor law off-campus contracts.

Commitment to Equity and Inclusion

Collaborate with the Office of Equity & Inclusion to increase the diversity of applicant pools. Attend community diversity job fairs, higher ed workgroups, and forums to discuss challenges and opportunities to increase diversity in higher education. Responsible for identifying posting sites to attract diverse candidates. Monitor response to required diversity statements on applications.

Applicant Tracking System

Subject matter expert on the applicant tracking system. Evaluate business processes, make recommendations for enhanced workflow. Provide assistance to hiring managers, search committee members and applicants as needed.

Office Coverage

Provide backup data entry for the HR Specialist. Cover the front desk as needed. Assist with daily operations of the office.

Must Haves

High school diploma with 3 years experience; AA/AS with 2 years experience; or BA/BS with 1 years experience

Associate Professional in Human Resources (aPHR) or the ability to obtain certification within one calendar year from date of hire

Excellent organizational and customer service skills

Federal Employment Requirements (I-9, minimum wage, etc)

Aptitude for multiple software systems including but not limited to Excel, Word, and recruitment and HR databases

Nice to Haves

High school diploma with 6 years experience; AA/AS with 4 years experience; or BA/BS with 2 years experience

PHR/SHRM-CP certification

Experience coaching hiring managers

Experience recruiting underrepresented minorities

Student employment terminology, basic understanding of work study

Experience with human resource information system (HRIS), specifically Workday

Experience with customer management software (CRM), specifically Colleague

Physical Requirements

The job works primarily at a desk or is otherwise involved in activities requiring little lifting, climbing or working in tiring positions.
