Sr Administrative Assistant (Professional Learning team)





About this role…



As the Senior Administrative Assistant for the Professional Learning team, you will provide high-level administrative support to the VP, Professional Learning and to members of the team, as assigned. You will regularly interface with members of Professional Learning, others across the organization, clients, vendors and other external contacts. You will be expected to regularly interact with confidential and sensitive information.



Your next challenge…



Coordinate and schedule meetings with executives, staff, clients and business partners; provide updates of upcoming commitments and responsibilities; maintain executive’s calendar
Monitor and respond to emails and other correspondence as directed; open, read and act upon incoming mail as directed
Maintain detailed records of executive/director/team contact with clients, vendors and business partners
Assist executive/director/team in monitoring internal and external promises and commitments; help to organize the flow of work by importance and deadline
Prepare a variety of presentations and reports using MS PowerPoint, Excel and Word
Coordinate travel arrangements and prepare itineraries for executive/director/team; coordinate other travel as needed; Assist in coordinating PTO requests and the team calendar
Aid with the process for Professional Learning Consultant and Part-time Facilitator Interviewing and Selection & the onboarding process for new hires
Pack and ship facilitator materials to support new and updated Professional Learning offerings
Provide event arrangement and support for annual team retreats and meetings
Write correspondence and other materials for external and internal distribution
Arrange conference calls and prepare agendas and materials for internal and external meetings
Attend in-office meetings as appropriate, prepare minutes and follow up as needed

Proficient in Microsoft Office Products & use of the Internet and databases

Exceptional skills in partnering with clients and staff and in developing and maintaining long term supportive relationships
Ability to organize time effectively, determine priorities, and move work forward
Willingness to accept coaching to remove barriers to effective working relationships


Education and experience…



Bachelor’s degree preferred; equivalent combination 5 years’ of experience and education in lieu of a degree will be considered
Minimum three years of experience supporting an executive, director or team required
