This is an exciting opportunity to work for one of the top law firms in the United States and the region. The position maintains physical and electronic files for the Practice Assistant Services department and reports to the Practice Assistant Supervisors. 1. Physical File Maintenance
Collect, organize and file paper copies and originals to into existing client files; order new file materials and labels as needed; locate physical files and file loose paper filing; shelve files, boxes, binders and when necessary; move or shift physical files from one location to another as space management requires.
2. Electronic File Maintenance
Scan documents; save electronic files into appropriate folders in the firm’s document management system.
Break down binders for destruction or filing in physical or electronic files; other duties and responsibilities may be added, deleted or changed at any time at the discretion of management, formally or informally, either verbally or in writing.
Other duties as assigned.
Must possess the following capabilities: teamwork/cooperation, attention to detail, good judgment, client service orientation, quality work standards, ability to learn, analyze, good oral communication, tolerance for flexibility and adaptability. Must be able to work at a fast pace and without supervision, on routine activities with deadlines under conditions where there are rapid changes in the daily work schedule.
Must be able to learn and utilize firm software including iManage, CopiTrak, and CodeSearch. Must be able to operate a telephone, printer, scanner, fax machine, general office photocopier and personal computer.
Physical and Mental Capabilities
Must be able many times daily to read and interpret for understanding instructions or notes of one-half page or less and forms received for data entry and processing in printed form or from a computer screen. Must be able to respond to an auditory signal to prevent or alert others of an emergency and be able to distinguish by listening between equipment which is functioning properly. Must be able to lift, place and carry files and/or large reference books many times a day to various locations within the office. Must be able to lift 30 lb file box from ground to shoulder height many times per day. Must be able to maintain a stationary sitting body position from 26 to 50 percent of the workday. Must be able to keyboard information from 51 to 100 percent of the workday and lift, bend and reach to place or retrieve or deliver files and boxes 26 to 50 percent of the workday.
Education & Experience
Must have a high school diploma or equivalent. General office experience preferred.
Normal Work Hours
Regular office hours are 8:30 a.m. to 5 p.m., Monday through Friday. This position is temporary for the duration outlined, nonexempt and is eligible for overtime compensation.
