Primary Work Location: Onsite Main Campus, Portland Oregon
Work Schedule: 40 hours; Varies, will include weekends, after-hours, and holidays
Employee Classification: Staff, Full-Time, Nonexempt
FTE: 1 (40 hrs. week)
The position supports the Office of Doctoral Study in the areas of online and on-ground program management, candidate advising and support, enrollment management, instructor support, and program-completion efforts. Provides professional, supportive service and communication to doctoral program faculty, candidates, and stakeholders to extend the program’s values and mission.

Essential Duties and Responsibilities:
1. Coordinate on-campus course scheduling, instructor scheduling, calendaring, enrollment tracking, orientation, and registration. 25%
2. Coordinate onboarding of candidates including: academic advising, orientations, and degree completion planning. 15%
3. Serve as academic advisor for on-ground candidates throughout their program experience. 15%
4. Support on-ground candidate recruitment including meeting with prospective candidates and reviewing application materials. 10%
5. Manage and report critical assessments using the Taskstream system to support ODS program improvement and accreditation purposes. 10%
6. Validate the completion of program requirements as candidates’ matriculate through the program. 5%
7. Manage program purchasing (books, software, licenses, etc.) and reimbursements. 5%
8. Support adjunct on-ground faculty, including: on-boarding and instructional process items. 5%
9. Provide support for program accreditation efforts. 5%
10. Other duties as assigned by the Director. 5%
Work Contacts: Contacts include Department Director, faculty, staff, and students on a regular basis.
Scope of Work: Activities and tasks support the operations of the Office of Doctoral Studies and includes following standard operating procedures through course of work. May initiate actions in support of departmental operations. Requires knowledge of institution policies and practices.
Working Conditions: Office environment.in a public PK-8 school.
Minimum Physical Requirements:
Able to tolerate prolonged sitting and keyboarding.
Able to lift and carry 35 lbs. on an occasional basis.
Able to use basic office equipment including phones, copiers and computers.
Able to climb and descend stairs in a safe manner.
Able to lift, pull, grasp, stoop and reach within an office environment.
Minimum Education and Experience Requirements:
Earned Master’s degree in Education or related field.
3-5 years of progressively responsible administrative support experience or specialized experience performing related job tasks. Experience working within a higher education environment preferred.

Able to communicate effectively in person, in front of audiences, electronically and via telephone.
Ability to demonstrate excellent organizational and problem-solving skills; outcome-oriented.
Ability to be highly productive and self-motivated with minimal supervision.
Able to maintain confidentiality and handle private information with discretion, tact and good judgement.
Proficient using the Microsoft Office Suite including Word, Excel, Access PowerPoint, and Outlook.
Able to enter data in a database in an accurate and timely manner.
Able to readily learn to use existing administrative software including Banner, Blackboard, Qualtrics, and Taskstream.
Experience with and ability to assist in automation of office processes.
Able to build cooperative and collaborative working relationships within and among a wide range of constituencies.
Able to demonstrate consistently a commitment to diversity and inclusion throughout the course of work duties.
