The Central Services Division (CSD) assists the department in achieving its mission by providing central management services for the agency in accounting, budgeting, information systems, human resources, health and safety, training, policy and organizational development, purchasing, and facilities management. The division serves headquarters and 3 regional divisions, the Vehicle Inspection Program, and the Laboratory and Environmental Assessment Division. Services are provided for over 700 positions, various local and regional governments, and directly to citizens.

The Oregon Department of Environmental Quality (DEQ) currently has an opening for a CSD Executive Assistant (Executive Support Specialist 2) in Portland, Oregon. This position is limited duration through June 30, 2021 with the anticipation of becoming permanent pending the budget.

What you will do!
The CSD Executive Assistant will serve as the assistant to the Central Services Division Administrator and management team. You will provide confidential administrative support, maintain the daily schedule, arrange meetings and conference calls, establish and maintain filing systems, track and maintain log of leave requests, coordinate and execute special projects, make travel arrangements, and manage phone calls and visitors for the CSD Administrator. You will also provide support to the CSD Administrator with collective bargaining, such as compiling, researching, and developing bargaining concepts, and taking notes and meeting minutes.

This is a full-time, management services-confidential position.

What are we looking for?

1 year of experience performing administrative duties in support of complex agency projects or programs. Qualifying experience could involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.
Experience with confidentiality protocols and the ability to maintain strict confidentiality in all matters.
Ability to manage multiple high-priority tasks with a heavy workload and competing deadlines and ensure timely completions.
Strong organizational and time management skills, with an ability to switch priorities or projects seamlessly.
Excellent customer service skills and interpersonal skills.
High aptitude for learning new things and an ability to pay attention to detail.
Experience composing, formatting, and editing with appropriate grammar and punctuation.
Advanced skill and proficiency in using Microsoft Office products (Word, Excel, PowerPoint, and Outlook).
Skill in making independent judgment and decisions concerning a course of action to be taken.
