Job Title: Client Services Coordinator - Contracts FLSA Status: Non-Exempt
Hours: M-F, 32hrs/wk Reports to: Operations & Services Manager
Location: Resource Center Pay Range: $16-17/hr

Meals on Wheels People enriches the lives of seniors and assists them in maintaining independence by providing nutritious food, human connections and social support. With the help of more than 5,500 volunteers, our nonprofit organization serves over 5,700 meals daily and more than 1.3 million meals each year across Multnomah, Washington, and Clark Counties. General Summary
Responsible for process management and reconciliation private-pay, contract and other client eligibility requirements; reconciliation of contract authorizations to ensure accurate billing of provided services. Serve as a liaison between contract partners, clients, and staff to ensure accurate authorization and delivery of private-pay and contract client services.

Principal Duties and Responsibilities (Essential Functions)
• Responsible for process management and reconciliation of private-pay, contract and other client eligibility requirements
o Capture accurate authorization and funding as meals start
o Maintain current authorizations and obtain re-authorizations
• Serve as a liaison between contract partners, clients, and staff to ensure accurate authorization and delivery of contract client services
o Communicate with case managers, clients and staff regarding status of authorizations and potential disruption in services
o Notify appropriate center of Meals on Wheels new starts and changes in a timely manner
o Notify contract clients of changes in a timely manner
o Work with Client Services staff to assure eligibility of Meals on Wheels clients
o Update client information with changes of address, ensure accuracy and integrity of information within database, correct inaccurate information as necessary
• Ensure integrity of data in client data management system, update client information as needed and correct inaccurate information as necessary
• Handle client concerns and comments in a constructive, professional, and helpful manner
• Coordination of volunteer projects and voucher processing
• Word processing, data entry, and other clerical duties as assigned by supervisor
• Cross train on intake to serve as back-up
• Other duties as assigned

Education & Knowledge
• High school diploma or equivalent required; associate degree in business administration, or related field or equivalent work experience a plus
• Knowledge of OAA eligibility requirements preferred

Skills, Abilities & Experience
• Bilingual/Bicultural English/Spanish, Vietnamese, Russian, Asian or African languages preferred
• Minimum two year experience in office environment
• Proficient in MS Word, Excel, Outlook, computer applications and data entry
• Experience working with volunteers/volunteer coordination preferred
• Excellent interpersonal skills with ability to build trust and maintain constructive relationships across organizational boundaries
• Must have excellent problem solving, organizational, verbal and written communication skills
• Ability to effectively communicate with diverse populations including, minority, aging, low-income and disabled populations
• Ability to maintain confidentiality and security of sensitive information
• Strong attention to detail and accuracy of information

Any satisfactory combination of experience, training and/or education which ensures the ability to perform the work may substitute for the above qualifications.

Working Conditions/Physical Demands
• Dexterity of hands and fingers to operate a computer keyboard, mouse, 10 key and phone
• Sitting for extended periods of time
• Minimal reaching, bending and stooping
• Candidate must successfully pass the Meals on Wheels People pre-employment drug & alcohol test and criminal background check
