The Oregon Department of Environmental Quality (DEQ) currently has a full-time opportunity for an Assistant to LEAD Administrator (Administrative Specialist 2) in Hillsboro, Oregon.

The Laboratory and Environmental Assessment Division’s (LEAD) mission is to provide timely, high quality data and information through monitoring, laboratory services, and data analysis. The Division serves the Agency programs and regional offices throughout Oregon and provides the scientific information necessary for the agency to achieve its mission to be an active leader to restore, enhance, and maintain the quality of Oregon’s air, water, and land.

What you will do!

The Assistant to the LEAD Administrator provides administrative support to the LEAD Administrator, Laboratory Management Team, and LEAD in general. You will act as a gatekeeper for materials submitted to the LEAD Administrator and meetings requested with the LEAD Administrator. You will act as an administrative liaison between the LEAD Administrators, Agency staff, the Director’s Office, the Governor’s Office, legislative staff, other state and local agencies, the federal government, and the public. Additionally, you will provide administrative support to the analytical and monitoring sections of LEAD and coordinate with LEAD Resource Assessment and Technical Support Manager and clerical staff to identify problems, analyze information, and recommend more efficient or effective administrative procedures and policies. You will have the opportunity to lead improvement projects for the division. Finally, you will assist the Resource Assessment and Technical Support Manager in the coordination of the program’s clerical/support staff activities.

This is a full-time, AFSCME represented position.

What are we looking for?

2 years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Duties should have included the interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations.
Proficient in Microsoft Office: Word, Excel, Outlook, and PowerPoint.
Strong organizational, prioritization, and time management skills, with an ability to switch priorities or projects seamlessly, and an ability to juggle multiple priorities; ability to stay calm under pressure; flexibility and capacity for thinking on your feet.
Excellent verbal and written communication skills including experience composing, formatting, and editing documents and emails with attention to spelling and grammar
Project management skills and experience.
Experience in a fast-paced work environment with shifting priorities and varying demands.
Experience processing requests for information.
Experience researching, analyzing, and interpreting data and other information.
Excellent customer service and interpersonal skills.
High aptitude for learning new things.
