Reports to: Asset and Facilities Manager
Catholic Charities is a nonprofit social services and low-income housing provider organization dedicated to providing social services and assistance to meet clients' physical, social, spiritual, and psychological needs while helping to develop opportunities for self help. Caritas Housing includes the divisions of real estate development, asset management, and asset development.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
Complete administrative activities related to housing entities, Caritas Housing Initiatives LLC and Caritas Community Housing Corporation (known collectively as Caritas Housing).
Assist with compliance and program reports to governmental agencies, investors and funders.
Assure organizational governance requirements are met, bylaws adhered to, required minutes, and documents are maintained and accessible, for each Caritas Housing entity.
Staff the Caritas Housing Committee meetings through recording of minutes and maintaining the organizational document archives, including minute books, resolutions and board actions, and the documentation of all legal entities
Assist in preparation of funding applications for operating and capital grants.
Maintain/process billings to funders for payments resulting from grant awards, including billings for staffing costs and capital.
Maintain/process invoices and billings for payments related to individual projects, working closely with the Finance Department to ensure accurate project accounting.
Maintain records on department fees billed and received, including fees charged for resident services, asset management, asset development and developer fees.
Maintain department records on clients served, including resident demographic profiles of tenants by property and clients served through asset development activities.
Maintain Outlook database of industry contacts and mailing lists, open houses, and other special events.
Assist with input of financial indicators in portfolio and facilities tracking spreadsheets, including tracking and maintenance of occupancy data and other data management needs.
Prepare informational articles and public relations, and develop and maintain the Department's Power Point presentations.
Other duties as assigned.
Bachelor's Degree preferred and/or equivalent work experience.
Minimum of two years of experience in an administrative capacity, preferably in a non-profit environment. Interest and experience working in affordable housing strongly preferred.
Excellent organizational skills and high attention to detail required.
Ability to work reliably and effectively in a team environment, while also work independently. Be flexible and adapt well to different dynamics in a fast paced work environment.
Strong computer skills with demonstrated proficiency (intermediate to advanced) in Microsoft Office Suite, specifically Excel, Word and Outlook.
Demonstrate judgment and discretion in dealing with confidential matters.

Must be able to organize and prioritize work, be proactive, take initiative, follow through, and simultaneously manage multiple priorities to ensure goals are met in a timely manner.

Ability to lift 40 pounds.
Must have driver's license, access to vehicle and ability to obtain automobile insurance at levels required by agency (100/300/100). Occasional travel in the Portland Metro area.
Satisfactory results from criminal, civil and/or motor vehicle background check required
