The Senior Administrative Specialist provides administrative support to the Chief Procurement Officer (CPO), the Purchasing Manager, P-card Program Administrator and Procurement Program Coordinators.

This position will independently perform difficult, specialized administrative support functions requiring a thorough knowledge of City policies and procedures applicable to assigned responsibilities, prioritize multiple projects, support various programs within Procurement, attend outreach events, connect with community members, and assist with trade show set up and tear-down.

The position is responsible a variety of duties that include, but is not limited to: preparation of correspondence; draft memoranda, proof read documents for accuracy, completeness and compliance with City policies and procedures; schedule meetings; create reports and materials for meetings; and assist with coordinating advertisements and marketing materials for the Division. The Senior Administrative Specialist will also support the P-card Program and be responsible for receipt and reconciliation of the all City employee's procurement card transactions and the monthly billing statement from the City's procurement card provider bank. This may include processing the citywide transactions reports, reconciling the provider banks statement and distributing month end totals to bureau accounting staff for internal reconciliation and submission.
