The Finance Manager is responsible for managing the day-to-day financial systems of the organization, including accounting systems and operations, fiscal and administrative systems, financial work cycles, budgeting, and reporting. This position supervises and provides hands-on assistance to the Finance Coordinator while taking direct ownership for other critical functions identified below. The Finance Manager works collaboratively with senior executives, programmatic, and departmental leads (including Executive Director, Development Director, Operations Manager, and Program Directors) to ensure all financial systems function efficiently and effectively. The Finance Manager is also Board-facing ensuring the Board of Directors receive timely and accurate reports that provide a clear picture of the organization’s financial position.

The Finance Manager will work 40 hours per week, 12 months per year. May occasionally work weekends, nights, and holidays.


Finance Duties:
• Responsible for management of bank accounts (cash reserves and investments), and bank reconciliations.
• Manage the annual organizational budgeting process, and build new collaborative processes that engage department heads in budgeting.
• Meet regularly with department heads and other senior leaders to review monthly financial statements and engage leaders in budgetary ownership.
• Work with Finance Coordinator to ensure day-to-day accounting functions are operating effectively and efficiently (AP, AR, expense coding and distributions, cash position and bank balances, payroll and payroll accruals, W2s, and 1099s).
• Maintain organizational credit cards.
• Lead monthly financial close and produce monthly financial statements. Produce financial reports for the Board Finance Committee and General Board meetings. Be available to the Executive Director, Board President, and/or Finance Committee Chair to respond to questions and requests related to the organization’s financials.
• Collaborate with Development Team to reconcile development revenue, forecast payables/receivables, and prepare proposed budgets and budget/actual reports for grants.
• Work with partnering audit firm to complete an annual auditing process and produce IRS reports.
• Ensure all financial systems and policies at every level of the organization are current, effective, and in compliance with GAAP and other applicable rules and regulations.
• Maintain segregation of duties and other internal controls.
• Implement and achieve departmental goals and institutional objectives through a quality/customer service-oriented team.
• Supervise the Finance Coordinator.
• Work with third-party financial consultants on financial analysis projects, long-range planning, and strategic forecasting.

People & Benefits:
• Collaborate with Operations Manager, Finance Coordinator, and Senior Leadership Team to review job grade classification plan and provide salary adjustment recommendations.
• Collaborate with Operations Manager, Finance Coordinator, and Senior Leadership Team to manage the ongoing integrity of the compensation schedule as business conditions and/or position descriptions evolve; including analysis of corresponding job titles, qualifications, and responsibilities.
• Collaborate with Operations Manager to negotiate employee benefits packages with vendors.
• Collaborate with Finance Coordinator and Operations Manager to ensure the timekeeping system is effectively functioning and accurate.
• Review bi-weekly payroll entry (employee earnings, taxes, and benefits) for accuracy prior to submission.
• Ensure retirement contribution uploads are accurately executed in a timely manner.

Administrative Duties:
• Collaborate with Operations Manager to procure, evaluate, and manage property and liability insurance coverage and mitigate legal exposure for the entire organization.
• Provide support in ensuring contracts and agreements for each program year are completed and meet state registration, accreditation, and organizational archive management regulatory compliance. Assure all necessary budget information provided is accurate and timely. Contracts include, but are not limited to, school district contracts, Nutrition program contracts, and development agreements.

Other duties and responsibilities as assigned by the supervisor.


Bachelor’s degree from a four-year college or university within the field of business, nonprofit management, accounting, and/or finance. Five (5) + years of experience in a finance leadership role (non-profit or private sector) and three (3) + years of supervisory experience is required and/or considered equivalent to a Bachelor’s Degree.
Substantial knowledge of and direct business experience with financial and accounting operations, including A/P, A/R, payroll, general ledger accounting, and budgeting. Strong knowledge of GAAP, federal fund source compliance, and super-circular.

Strong knowledge of and direct experience with fund accounting practices and software (i.e. Abila MIP, Quickbooks, etc.). Advanced knowledge of Microsoft Excel.

Strong knowledge of and direct experience with organizational operations, including contractor management.

Excellent interpersonal skills and ability to be collaborative and work with a diverse population to solve problems and provide high-quality customer service.

Ability to imagine, understand and direct the big picture, but still personally attend to the details.


This position will supervise Open School employees that include the Finance Coordinator.

Oversee day-to-day accounting systems.

Responsible for implementing departmental goals and facilitating interpersonal team dynamics in achieving departmental goals and institutional objectives through a quality/customer service-oriented team.
Develop and implement policy and procedures for departmental standards and protocol as approved by the supervisor. Maintain the knowledge base of internal and external regulations and laws necessary to assure compliance in all departmental activities.

Lead the annual organizational budgeting process.

The scope of responsibility includes supervision of employees, student employees, volunteers, and contracts as needed.

Carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities may include interviewing, hiring, and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Plan and provide education and development opportunities for departmental staff.

Duties may include but are not limited to, chairing or providing leadership to committees as appointed by the Executive Director.

Must successfully pass Oregon Department of Education fingerprint-based criminal history verification background

Ability to read, and interpret most documents. Ability to respond effectively to the most sensitive inquiries or

Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. The ability to interpret and develop budget tracking formats is essential.

Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Must have a valid current driver’s license. First Aid/CPR
certified preferred.
