We have an opening for a full-time Director of Grants Management to support the foundation’s mission by leading a team that is responsible for managing grantmaking systems, operations, and data integrity, as well as verification of nonprofit compliance. This position reports to the Vice President of Grants and Programs.
Essential Duties and Responsibilities:
Provide leadership, managerial and supervisory oversight, technical assistance, and training to staff on grant processes, reporting, compliance, and innovation to ensure quality and consistency across the organization
Design, document, communicate, and implement grants administration policies and procedures
Manage continuous improvement initiatives, to ensure that solutions align with the foundation’s strategic goals
Monitor grant and scholarship payments, to ensure timeliness and smooth workflows
Work closely with various grant teams to produce grant materials for board meetings
Oversee creation and maintenance of appropriate templates for staff to use
Grant Management System
Oversee the grant management software and system including protocols, security, grant coding, data integrity, application and reporting systems, and vendor modifications
Ensure that maximum utility of the database is achieved for various uses and users of the system - this requires a collaborative, cross-department approach
Advance technology solutions and tools in support of grant practices and processes.
Oversee creation and maintenance of online grant applications and reporting, including development of a readable, user-friendly PDF version of each program’s application
Leads process improvement projects involving cross functional and interdepartmental teams
Ensure compliance with all laws and regulations applicable to the grantmaking process
Maintain up-to-date knowledge of IRS rules and regulations affecting the grantmaking process, both for community foundations and for applicants/grantees (for the latter, to the extent that the regulations might influence the grantmaking process or to the extent that a grant might have an adverse effect on the grantee)
Coordinate aspects of expenditure responsibility and provide audit support to the external auditor annually
Discretionary Budgets & Funds
Manage discretionary grant budgets for the Board’s grantmaking committees: Arts & Culture, Community Engagement, Education, Grants, and Strategic Opportunities
Allocate discretionary funds (160+) to appropriate grant opportunities, making the best use of available resources
Minimum Qualifications and Experience:
Seven years experience in grants management and grants compliance in the nonprofit or public sector, or equivalent experience in the private or corporate sectors.
Bachelor’s degree in a related discipline (e.g., computer science, math, business administration, finance, etc.) or equivalent experience.
Knowledge of accounting procedures and best practices in grants administration, including knowledge of IRS regulations related to foundations. Ability to design and implement effective grants management processes and procedures.
Knowledge of customer relations management (CRM) and grants management software. Skilled in Microsoft Office Suite: Excel, Word, PowerPoint, Outlook.
Excellent organizational and project management skills and attention to detail. Able to prioritize work effectively and adjust to multiple demands within set deadlines.
Excellent team leadership skills. Ability to recruit, retain, motivate and develop talented individuals and engage them in collaborative achievement of personal, departmental and organizational goals. Ability to clearly communicate expectations and decisions, demonstrating good judgment and sensitivity.
Three to five years of supervisory experience at a minimum.
Analytical, organized and goal-oriented. Ability to think big picture as well as attend to day-to-day operations.
Ability to work successfully within complex systems, tolerate ambiguity, and demonstrate flexibility in achieving goals.
Exceptionally strong written and verbal communication as well as diplomacy, to work effectively and collaboratively across the organization.
Possesses cultural agility skills necessary to work effectively with diverse people, teams and communities.
