The City of Portland is currently seeking a Fleet Services Coordinator to join the Office of Management and Finance, Fleet Services.
The Fleet Services Coordinator will work as a member of the Repair and Maintenance Team, serving as a critical liaison between the CityFleet Repair & Maintenance team, CityFleet customers, and external vendors.
The Fleet Services Coordinator will be responsible for the customer intake process by initiating automotive and equipment repair work orders, identifying and/or clarifying performance problems and service requests from operators and drivers, and distributing this information to the supervisor or assigned technician. They will facilitate completion of repairs with mechanics and shop management and will prepare estimates for external customers. This position will be responsible for communicating with customers from intake through repair completion, and will enable CityFleet to streamline internal communications by centrally locating the Fleet Services Coordinator adjacent to the technicians performing the work.
The Fleet Services Coordinator will also organize and coordinate vendor-related vehicle or equipment repairs, including selection of vendors, repair authorizations, verification of repair quality and completion, and invoice processing. The Essential functions are:•Customer intake;
•Creating work orders;
•Work scheduling; and
•Communication between customers, staff, leadership, and external vendors.

The following minimum qualifications are required for this position:
1.Knowledge and experience applying equipment maintenance and repair methods, procedures, tools, techniques, and terminology.
2.Ability and experience maintaining productive and cooperative working relationships between customers, vendors, staff, and external customers.
3.Ability and experience exercising independent judgment, problem solving and taking initiative within authorized parameters.
4.Ability and experience applying oral and written communication skills
5.Ability and experience working in MS office applications, including Excel.
Applicants must also possess: •A valid state driver's license.
The following knowledges are desirable, but not required to be qualified for this position:•Knowledge of asset management information systems and software (FIMS).
•A minimum of 3 years automotive or equipment repair and maintenance industry experience.
