Event Specialist (R18-836)
As the Event Specialist at the World Trade Center, you will plan onsite events for employees, managers and the public working with food service and facilities teams.
Event Sales Program
Assists in planning, executing and monitoring a profitable sales program targeted to outside sales and repeat corporate business; balances markets to best utilize current services and seeks opportunities to expand services, increasing Conference Center revenues and profitability; responds to customer inquiries; packages room rental with vendor services and suppliers and sells at a profit; coordinates with other sales staff to ensure that the Conference Center functions in an efficient, cost-effective and profitable manner; negotiates pricing, event details, and custom packaging with external customers; creates and maintains client proposals, maintains files on customer events, accounting issues, invoicing, sales calls, event evaluations and correspondence; interprets Conference Center usage policy; provides guided tours of WTC International Conference Center facilities for large or small groups.
Automated Reservation and Scheduling Systems and Services
Assists in monitoring and operating automated reservation and scheduling systems and processes, coordinating with scheduling and reservations staff; recommends changes/revisions to improve automated systems and processes; assists in monitoring the efficiency, cost-effectiveness, accuracy and service level of all Conference Center scheduling services; oversees scheduling between internal and outside customers.
Marketing Strategies and Tools
Assists implementing a marketing program to increase the Conference Center’s visibility and reputation to increase usage and revenue base; establishes and continually expands customer base; continually monitors and advises manager of the availability of marketing tools (brochures, spec sheets, meeting planning materials, advertising and other collateral materials); recommends competitive and profitable pricing policies as the markets change; recommends public relations, marketing and advertising program strategies to manager; implements approved public relations, marketing and advertising strategies.
Venue Operations and Public Relations
Assists in monitoring the department's operating plans and operating procedures; prepares reports for manager on Conference Center usage; accommodates sponsored/co-sponsored events and all outside and international clients ensuring that paying and nonpaying clients are handled in a professional manner; maintains excellent public relations; recommends significant changes/upgrades to Conference Center equipment and furnishings; establishes and maintains close working relationships with hotels and facilities managers for overflow and additional meeting/events space needs; resolves service problems; responds to last-minute changes in equipment needs, equipment failure, room setup requirements and security requests.
Vendor Management, Billing and Payments
Evaluates need for and requests approval of contract staff additions and part-time assistance; monitors and coordinates with vendors providing event services (e.g., outside technical services, audiovisual services, maintenance services); ensures service fulfillment; monitors billings and payments for Conference Center usage and to vendors; resolves billing and deposit discrepancies/problems.

You will support our journey by:
Requires a bachelor’s degree in marketing, communications, business, hospitality management, public relations or other related field or equivalent experience.
Typically two or fewer years in sales, marketing, corporate event planning/management or related field.
