The Office Administrator oversees all office policies and procedures to ensure Fully’s workspaces run smoothly and efficiently. They are competent in prioritizing duties and working with little supervision. Their clear, direct and consistent communication is an asset and establishes a calm, warm and orderly atmosphere. With a self-motivated and detail-oriented personality, they thrive in this role of widely varying responsibilities.
Essential Duties and Responsibilities:
--Create efficient office systems and oversee space management to allow our team to perform at its highest level.
--Track and manage office inventory supply and refreshment needs for each company location
--Manage and monitor weekly team lunches
--Manage vendor relationships, including plant service, beverages, cleaning crew, etc.
--Develop and oversee security measures for office and warehouse locations
--Act as liaison with building management for facilities related issues
--Oversee physical space needs in coordination with various departments and Workplace Designer
--Take initiative and ownership of projects to maintain upkeep and security of the office space
--Manage internal “Cragslist” system for employee purchase of furniture items no longer in use.
--Budget and track office-related purchases and complete expense reporting on a bi-monthly basis
--Plan and organize monthly Lunch & Learns and other community-building or employee-related social activities
--Coordinate new employee workstations and assist in the onboarding process for new employees
--Provide miscellaneous office support to other departments.
Skills and Qualifications:
--Strong organizational skills with attention to detail
--Ability to keep records that are accurate and detailed
--Working knowledge of Google Suite products
--Ability to manage time effectively
--Skilled at balancing competing priorities to effectively address tasks in a timely manner
--Ability to communicate clearly and compassionately using both verbal and written communications, to interact with colleagues at every level of the organization as well as the general public
--Comfortable with seeking out creative solutions to evolving challenges
--Ownership of projects and requests through from inception to completion
Education/Experience: Office administration experience preferred
Department: People Operations
Reports to: Director of People Operations
Hours: Monday through Friday, 8:30am - 5:00pm, 40 hours per week.
Compensation: Salaried full time. We evaluate our compensation offerings according to market medians and internal pay equity.
