The Oregon Department of Environmental Quality (DEQ) currently has a full-time opportunity for an Administrative Specialist (Administrative Specialist 2) in Portland, Oregon.

DEQ has a centralized policy and planning component and regional offices to accomplish its mission. There are 3 regions (Northwest, Western, and Eastern); this position is in Northwest Region. The Regions provide the following services: compliance inspection of regulated entities; enforcement of permit requirements and administrative rules; issuance of air, water, and solid waste permits; investigation of complaints; issuance of subsurface permits in counties; response to spills or other incidents with environmental impacts; direct contact and liaison with other governmental entities, industries, and the public; and technical assistance to regulated entities and the public.

What you will do!

The Administrative Specialist provides support for the Asbestos Program. You will answer questions and interpret DEQ laws, rules, policies, and procedures regarding DEQ’s asbestos program for building owners, building and remodeling contractors, asbestos abatement contractors, the public, and other agencies; review and process asbestos notifications; review and process worker and supervisor certifications; review and process asbestos contractor licenses; review training provider accreditations for administrative completeness; and enter data into the ASB and other agency databases, maintaining electronic and paper files for the region and program. In addition, you will provide administrative support to technical staff, including coordinating DEQ’s responses with technical staff and other DEQ programs. Finally, you will process public records requests for the asbestos program, as well as serve as a back-up to the receptionist on a scheduled rotation.

This is a full-time, AFSCME represented position.

What are we looking for?

2 years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Duties should have included the interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations.
Proficient in Microsoft Office: Word, Excel, Outlook, and PowerPoint
Excellent verbal and written communications skills, time management skills, customer service skills, problem solving skills, and organizational skills.
Experience performing data entry accurately; ability to pay attention to detail.
Experience in a fast-paced work environment with shifting priorities and varying demands.
Experience explaining rules and procedures, as well as experience processing requests for information.
Experience researching, analyzing, and interpreting data and other information.
Experience using databases (data entry, queries, and reporting).
