Position Summary
The Administrative and Support Coordinator provides assistance across all practice areas of the firm. Supervised by the Practice Support Manager, the coordinator helps execute the strategy of the expert and consultant group at Bates. Primary duties include helping draft engagement agreements for new client matters and working to process those in a timely manner. The coordinator is also responsible for reviewing and submitting time and expenses for experts and consultants as well as managing intake duties relating to new matters from clients. In addition, the coordinator will maintain and update records and documents for the group. The role also provides administrative support and project management coordination across practices and teams, particularly People and Culture, to maintain a high level of engagement and experience for our consultants.
Key Accountabilities:
• Coordinate and process new client project matters into case management system
• Draft client engagement agreements
• Process time and expenses for experts and consultants
• Assist with entries in client management system (CRM), Salesforce/NetSuite
• Schedule expert and consultant related conference calls
• Update expert/consultant assignment calendars
• Direct incoming calls to required parties and follow up as appropriate
• Support management with additional tasks as needed
Performance Standards
Annual performance evaluation based on position’s expected attainment of annual goals

Skills and Competencies
• At least 3 to 4 years in an administrative position; experience in paralegal/judicial, Human Resources, accounting, or consulting fields a plus
• Experience with on-boarding, orientation, scheduling, and database reporting
• Experience processing high-volume timesheets and expenses
• Demonstrated ability managing multiple projects in a fast-paced environment with tight deadlines
• Excellent written and verbal communication skills
• Strong analytical skills; organized and detail-oriented
• Exceptional customer service delivery and working with a high degree of integrity
• Ability to keep information about clients and former clients confidential
• Experience working with senior executives and external clients
• Skill in using Microsoft Outlook, Excel, and Word; experience with Salesforce or NetSuite CRM a plus
• Ability to work independently and as part of a team
