The Contracts Administrator is responsible for contracts involving the Port's aviation, industrial and marine properties and ensuring that all agreements are appropriately drafted and executed on behalf of the Port. • Meet with contract makers to gain understanding of transactions
• Draft, or assist with drafting of contracts needed for transactions, including coordinating and managing internal and external review
• Coordinate meetings with the legal department to manage and track production priorities to ensure deadlines are met
• Finalize documents for execution by relevant parties and manage or assist with real estate closings, when needed
• Develop and maintain a solid understanding of the JD Edwards Property Management System (JD Edwards) and participate in available training opportunities
• Accurately enter contract information into JD Edwards in order to generate abstracts and track critical dates
• Generate reports in JD Edwards and other databases to assist with property management, budgeting and analysis of financial performance
• Communicate with tenants orally and in writing regarding items needed for compliance
• Manage certificates of insurance on an ongoing basis and process real property tax bills annually
• Actively manage contract and program records to ensure compliance with the Port's public records policies and procedures
• Actively participate in Business Development and Properties and Commercial Division staff meetings and activities
• Assist in development of contracts administration processes and procedures
• Conduct research related to compliance issues and provide support for special projects, such as request for proposal preparation, records retention and project management, as needed

• Bachelor's degree in business, public administration, or related field
• 2-4 years of contract administrator experience, or equivalent combination of education/experience; i.e., associate degree with 3-5 years of experience
• Experience proofreading and editing for spelling, punctuation and grammar
• Comfort with performing basic math functions
• Knowledge of administrative procedures and office operations
• Familiarity with contracts administration and public organization requirements desirable but not required
• Experience with marine, industrial, and/or aviation real estate practices, desired but not required
• Proficiency with spreadsheets and data management computer systems

• Ability to demonstrate the Port's commitment to valuing differences among individuals and passion for being inclusive

• Skilled at inputting and retrieving data in a high-volume environment
• Ability to be accurate with a high level of attention to detail
• Skilled at formatting and producing correspondence and documents using current word processing applications i.e. Microsoft Word
• Ability to organize and prioritize workload to meet changing priorities and deadlines
• Ability to maintain confidentiality with document contractual information
• Ability to communicate and complete contractual projects with diverse Port workgroups
