Vesta is looking for an energetic, detail-oriented Payroll and Financial Administrative Specialist who will support and ensure seamless and structured payroll execution, payroll process consistency and payroll data accuracy for US payroll and partner with global payroll partners to execute the same. This individual will also be responsible for other key areas of payroll-related administration including benefits deduction and invoice reconciliation, 401k plan administrative support and stock plan administrative support. As a key member of the Finance and Accounting team and a critical partner to the HR/People Team, you will play a key role in supporting company growth, accountability and compliance.
Provide, coordinate, and consolidate all necessary data in order to process payroll in a timely and accurate manner following legal and company standards
Participate in the analysis, preparation, and maintenance of payroll
Ensure that the preparation and distribution of payroll complies with established schedules
Compile and calculate payroll data
Investigate and resolve errors in payroll processing
Administer garnishments and tax levies while maintaining employee confidentiality
Apply knowledge of the Companys policies and procedures related to payroll, timekeeping, audit, and accounting to ensure quality outcomes
Perform regular data audits to ensure data flowing within different systems is accurate.
Reconcile benefit deductions with benefit vendor invoices on a monthly basis, make corrections as needed and partner with HR/People to address issues with data feeds or workflow to solve problems
Ensure compliance with all applicable federal, state and local tax regulations as well as wage and hour laws
Partnering with the HR/People team, process terminations checks for quick and non-quick pay states, direct deposit rejections and replacements
Respond to employee inquiries regarding payroll issues and be able to explain paycheck calculations, deductions, taxes, and earnings
Maintain and document all payroll records and prepare end of year and audit reports.
Reconcile 401k deductions with 401k program reports to ensure accuracy and make corrections as needed. Partner with HR/People to address issues with data feeds or workflow to solve any problems. Process QNIC corrections if required. Help employees with 401k roll-over process and ensure approvals happen in a timely fashion. Partner with 401k auditor to complete 401k audit tasks.
Provide administrative support to CFO and Chief People Office for the equity program by maintaining accurate cap table at all times using Carta and preparing accurate equity approval documents for the Board meetings. Provide ad hoc equity reports to Chief People Officer as needed to support compensation and recruitment projects.
Proven capability to process high volume bi-weekly payrolls in multi states environment.
Effective communicator both verbally and in writing
Ability to analyze and resolve problems through effective customer service interface and communication.
Exceptionally detail-oriented, organized and able to prioritize in the midst of multiple, sometimes tight, deadlines.
Ability to work autonomously with minimal daily direction to accomplish objectives.
Ability to work cooperatively and collaboratively with peers, management and external agencies to get great results
Knowledge of applicable federal, state and local tax regulations as well as wage and hour laws and strong understanding of basic HR benefits, onboarding and offboarding processes
Advanced MS Office skills and general skill for picking up and learning technology systems.
Demonstrated quantitative and analytical skills; ability to perform percentage calculations and basic math functions related to gross to net payroll and payroll taxes
Mature professional presence and ability to respect and ensure strict confidentiality of employee and payroll data.
