The Brand Coordinator provides administrative support to a leadership group, including Brand, Strategy, Creative and Media Directors by scheduling travel, internal and client meetings, preparing expense reports, submitting timesheets and status reports, and general work-related (non-personal) support for the team, as needed.

Major Responsibilities/Primary Functions

Plans internal meetings by coordinating participants’ schedules, booking conference rooms, ordering catering and requesting any audio visual needs
Ensures smooth running of the Directors’ day
Manages the Directors’ calendars, arranging internal and external meetings as required
Accurately handles all general and confidential correspondence and documentation
Briefs the Directors on anticipated problems or issues
Partner with Creative Managers on weekly status reports
Occasionally helps prepare presentation boards and PowerPoint presentations for client meetings
Organizes team off sites to encourage bonding and brainstorming opportunities
Coordinates travel for all Directors by working with W+K Travel
Prepares and submits Directors’ expense reports to accounting department
Knows who’s who in the W+K network, and advertising industry in general
Has familiarity with our clients and who to contact if the requested person is not available
Prioritizes multiple tasks and distinguish between ‘urgent’ and ‘important’
Participates in award show submissions by asking Creative Directors which creative should be entered, and then partnering with our Awards Show Coordinator to supply the necessary information needed to submit the entry


Qualifications, Distinguishing Characteristics and Special Requirements
Bachelor’s degree preferred
Advertising agency experience preferred
Ability to effectively and appropriately interact with co-workers at a variety of levels, across many disciplines
Proficient in Word, Excel, PowerPoint, and Google Suite
Experience with Gmail and calendaring
A proven track record of gaining trust and respect by consistently demonstrating sound critical thinking skills and maintaining composure in stressful situations
Exceptional written and verbal communication skills with the ability to communicate with all levels of employees
Exceptional initiative, attention to detail and follow through skills
