Participant Relations and Administrative Support Specialist

Full-time; Non-Exempt

Reports to: Director of Programs


The person in this position serves as El Programa Hispano Catolico's (EPHC) first person of direct contact for community members referring them to the appropriate EPHC services and/or services provided by other agencies in the community. They provide reception and administrative support to EPHC.


Manage reception area and communications; attend to visitors:

Open and close reception area following appropriate procedures.
Greet and assist participants at the reception area, direct participants to EPHC services, services of other appropriate agencies, or to appointments with EPHC staff. Connect visiting participants with appropriate staff person. Manage the sign-ins of EPHC guests and guest badges.
Answer main telephone line and provide appropriate Information and Referral Assistance to Spanish and non-Spanish speaking community members; direct telephone calls to staff as appropriate.
Review, log and return telephone messages within 24 hours.
E-mail: monitor and respond to e-mail inquiries and communications with EPHC's general e-mail address. Answer questions and refer inquiries to the appropriate EPHC staff person, external agencies or other resources.
Resources: gather and organize relevant and current information about resources, services, programs, etc. that are of use to those who visit EPHC looking for assistance with challenges they are facing.
Maintain confidentiality of participant registrations and communications in compliance with El Programa Hispano Catolico / Catholic Charities policies and procedures.

Office Support

Monitor office supplies; place orders for needed supplies.
Assist with processing incoming and outgoing mail delivery; manage courier services as needed by EPHC.
Coordinate scheduling/reservation of EPHC meeting rooms and vehicle. Print and post daily room calendars. Check in/out of office keys, projector, EPHC banners.


Data entry into Salesforce and other databases as assigned.
Participate in projects including team, program, agency and community partner meetings.
Promote cultural awareness between the Latino and non-Latino communities.
Support the overall mission of El Programa Hispano Catolico. Adhere to El Programa Hispano Catolico / Catholic Charities policies and procedures.
Inform EPHC facilities coordinator or designee about facilities needs/issues at EPHC (e.g. elevator service, utilities, alarm system, badges, printers, etc.)
Other duties and responsibilities as assigned.


Bilingual writing, speaking and translation skills in English and Spanish required as well as cultural competency.
Minimum of two years of demonstrated success as a Receptionist or Administrative Assistant; preferably in a non-profit social service environment.
High school diploma / GED; Associate's or Bachelor's degree preferred. Knowledge of available community resources strongly preferred.
Working knowledge of effective reception and customer service practices and experience in operating multi-line phones.
Ability to work with public; greet participants in a friendly, culturally responsive way and respond compassionately to people in crisis.
Embody values of cultural humility and servant leadership, and demonstrate cultural responsiveness across cultures.
Must be able to organize and prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple priorities to meet goals on time.
Demonstrate judgment and discretion in dealing with confidential matters.
Strong attention to detail.
Strong computer skills with demonstrated proficiency (intermediate to advanced) in Microsoft Word, Excel, Outlook, PowerPoint and Publisher.
Self-motivated and able to work independently with little supervision while able to work effectively in a team environment.
Ability to work with creativity an flexibility in a changing organization. Ability to support organization and program specific mission and goals.
Ability to lift up to 40 pounds.
Must have driver's license, access to vehicle and ability to obtain automobile insurance at levels required by agency (100/300/100).
Satisfactory results from criminal, civil and/or motor vehicle background check required.
Position will require flexibility in working schedule.
